Offshore Maildrop: Do You Want An Offshore Office Without Actually Having One?

After 9/11, mostly, registered agents for off shore companies, provide virtual office services only for companies that have been incorporated through them. That too for companies that are in 'Good Standing', meaning which are still active.

Virtual office provider contracts have become more wary regarding unlawful activities, especially because what is deemed legal is itself changing rapidly due to US and EU pressure.

1. Mail And Fax Correspondence:

• All  mail or fax correspondence addressed to the Company is forwarded by unregistered mail to the forwarding address. All mail correspondence is generally forwarded weekly, unless indicated otherwise.

• All fax correspondence is converted to .pdf files and forwarded by email within two business days from the day of receipt, or forwarded by fax depending on whether the client is willing to pay extra charges. As a matter of exception offshore maildrop providers reserve the right to open mail correspondence for security or due diligence purposes.

• In addition to the  fixed service fee, handling charges normally apply to each outgoing unit of correspondence e.g. letter or package, at a rate twice the actual postage costs. Handling charge for faxes is additional per page.

• Handling charges are  generally deducted from a deposit paid in advance and you are notified as it gets depleted. All mail is normally held for around six months and destroyed thereafter.

• Forwarding service  will usually be provided for correspondence that can be clearly identified as addressed to the Company. Any incorrect, vague or ambiguous addressing on any incoming correspondence will be held for a period of time and destroyed thereafter.
  
  2. Document Re-mailing Service:
  
  a. This service enables you to  distribute your documents e.g. invoices, through our office. Such documents shall be sent to us in electronic format (.doc or .pdf) with respective intended recipients and their postal addresses clearly indicated in the body of such documents.
  
  b. Unless specifically agreed otherwise, we will not provide signatures on any such documents. Documents will be printed “as is” and mailed as indicated.
  
  c. In addition to the  fixed annual service fee, handling charges will be applied to each outgoing unit of correspondence e.g. letter or package, at the rate of twice the actual postage costs. The service is provided for up to 10 outgoing units per month, unless agreed otherwise.
  
  3. Telephone Confirmation Service
  
  a. A shared telephone line, different and separate from the normal business lines, will be used to take messages on behalf of Your Company. A dedicated line can also be ordered with the phone being answered with the name of your company.
  
  i. The shared telephone line is generally used to  provide such services to a reasonable amount of unrelated clients. This service enables you to show a local telephone number in your letterheads and stationery. The telephone confirmation service is only available during local business hours. Sometimes the calls are recorded.
  
  ii. While the telephone call will not be answered in your company name for the shared line, a confirmation will be given upon request that the caller has reached the registered office of Your Company. A message can be taken on your behalf forwarded to you by email no later than the next business day.
  
  iii. There is normally a small handling charge for relaying each message. The offshore maildrop provider will not engage in any interactive and detailed business communication on behalf of Your Company and will not be able to make any representations or statements.
  
  b. A  dedicated telephone line can be used at an extra fee. This service enables you to show the local telephone number in your letterheads and stationery, as your number for the Registered Office.
  
  i.  Telephone calls will be answered in your company name, we will confirm upon request that the caller has reached the registered office of Your Company.
  
  ii. As in the earlier case, there is a charge for relaying each message, but may be worth it to you, instead of opening a full fledged office in the beginning.
